Booking & Payment Policies


IMPORTANT INFORMATION ABOUT TRIP RESERVATIONS & PAYMENTS

Group Departures: A deposit of 10% of the per person total per participant is required to book a spot for your package, which includes a non-refundable administrative fee of up to $500 per person. 

Private trips: A deposit of 20% of the per person total per participant is required to book a spot for your package, which includes a non-refundable administrative fee of $500 per person. 

All Departures: All remaining balances are due 60 days prior to the trip departure date. All trips that are booked with less than 60 days prior to the trip departure date must pay in full upon booking and all forms are due immediately. Ride the Earth Adventures may reject any participant for whom payments have not been received on time or by the final due date. 


CANCELLATIONS, ITINERARY CHANGES AND REFUNDS 

Group Departure Cancellations: The initial booking deposit may be cancelled for a full refund if it is cancelled within 15 days of booking and the departure date is more than 90 days from the trip departure. If you cancel your trip more than 90 days prior to the trip start date, your deposit may be transferred to another departure. Transferred deposits expire 1 year from the date of cancellation and may only be transferred one time. Cancellations will incur an administrative fee of $500. Cancellation by you between 60 and 90 days prior to the start of your trip will result in a penalty of fifty percent (50%) of the total trip cost and your deposit is not transferrable.  Cancellation by you less than 60 days prior to the start of your trip will result in the loss of the total trip cost, including the deposit.

Private Trip Cancellations: The initial booking deposit may be cancelled for a full refund if it is cancelled within 15 days. If you cancel your trip after the 15 day grace period and more than 180 days from the departure date, your deposit may be moved to a new departure date, with the exception of a $500 (per person) admin fee, and you have 12 months from cancellation to use the remaining funds. If you cancel your trip less than 180 days prior to the trip start date, you will forfeit your full deposit. Cancellation by you between 45 and 60 days prior to the start of your trip will result in a penalty of fifty percent (50%) of the total trip cost.  Cancellation by you less than 45 days prior to the start of your trip will result in the loss of the total trip cost. For holiday season departures, all payments are due 90 days prior to departure and cancellations within 75 days of the departure date with result in a total loss of funds. 


Ride the Earth Adventures reserves the right to cancel, alter, reschedule or amend any or all programs offered at any time. If Ride the Earth cancels a departure due to low participant numbers, all attempts will be made to assist participants to re-schedule on a different departure. If no other departure can accommodate the participant, then Ride the Earth will refund all monies paid, with the exception of the administrative fee. In this circumstance, the deposit may be transferred to another departure for travel within 12 months of the cancellation date. 

If Ride the Earth cancels a trip prior to its commencement due to uncontrollable circumstances or safety issues (i.e. natural disasters, public health concerns, or other "acts of God"), then Ride the Earth reserves the right to deny any refunds. In this circumstance, the deposit remains non-refundable and will not be valid for another departure. Ride the Earth requires all participants to carry travel insurance that covers trip cancellation. 


CANCELLATIONS & CHANGES RELATED TO COVID-19

If the traveling party decides to cancel an activity during travel, or cancel any or all parts of the package due to fears of COVID-19, those cancellations will be non-refundable. In general, outside activities involving a third party that are cancelled due to COVID-19 restrictions are non-refundable. If Ride the Earth is unable to operate a tour package due to a change in local/state guidelines, we will do what we can to recover as many funds as possible, less the initial deposit. All monies paid towards accommodations will be subject to third party cancellation policies and refunds cannot be guaranteed.


Terms & Conditions


ACCEPTANCE OF TERMS AND CONDITIONS & ASSUMPTION OF RISKS, RELEASE OF LIABILITY AND WAIVER OF CLAIMS AGREEMENT


Acceptance of Terms and Conditions:

For purposes of this Agreement, RIDE THE EARTH ADVENTURES and all related persons and affiliated companies (as they now exist or may hereafter be acquired), employees, officers, directors, shareholders, successors, agents, owners, subcontractors, volunteers, representatives, subsidiaries, assigns, and affiliates are collectively referred to hereinafter as “RIDE THE EARTH.” “Adventure travel”, as it is referred to for any and all activities related to trips with RIDE THE EARTH’s programs, (including, but not limited to, adventure sports and/or community service initiatives on or under land, water, or air, transportation, lodging, food and beverages, and lounging activities) shall extend from the time I am initially picked up by RIDE THE EARTH to my final departure from the RIDE THE EARTH tour and includes any and all activities occurring at anytime and anywhere including travel. I am referred to as the “Participant” throughout this Agreement.


I AGREE that if I am injured or become ill, RIDE THE EARTH may, at my cost, arrange medical treatment, evacuation, or any other emergency services on my behalf as RIDE THE EARTH deems necessary for my safety and wellbeing. Without limitation, I further authorize and consent to the hospitalization, securing and performance of medical treatment (including first aid treatments performed utilizing wilderness medicine principles and protocols), injection, anesthesia, x-ray procedures, blood transfusions, medications and surgery for the Participant by RIDE THE EARTH and/or any hospital, physician, medical care provider, person or entity during the trip. I further acknowledge my full authority to authorize any necessary medical care and treatment by RIDE THE EARTH. Furthermore, if I, as a cognitive adult, deny recommended medical treatment and/or services, RIDE THE EARTH may not be held liable for any subsequent medical situations related to that event or illness occurring during or after my travels with RIDE THE EARTH.

I acknowledge that it is my responsibility to arrange for my own travel/medical/accident insurance for my adventure trip, which is required to participate in any RIDE THE EARTH tour, and that proof of that insurance will be provided prior to participating in such activities. In addition, I am aware that I will be liable for all costs incurred regarding trip cancellation, trip delays, damage or loss of baggage and medical emergencies howsoever caused including, but not limited to, medical services and expenses, medications and/or emergency medical evacuation costs.

I accept responsibility to have my entire passport, visa, vaccination, and other travel documentation in proper order. I realize I may contact the embassies or consulates of the countries I plan to visit for information, and that my passport must be valid for at least six months after the trip ends. For information concerning possible safety issues for international travel, I acknowledge that I may contact the State Department and, for information concerning vaccinations and health issues, I may visit the “Centers for Disease Control” online at .

I have read and agree to the policy on cancellation and refunds as listed in the RIDE THE EARTH Booking Contract form and under the Policies & Cancellations as agreed to during the online booking process.

I understand that RIDE THE EARTH reserves the right to take photographic or film, voice recording, and written records of any of the trips and Participants. I hereby agree that RIDE THE EARTH may use any picture, images, recording, or written records for promotional and/or commercial purposes, whether taken before, during, or after the trip.

 

Assumption of Risks:

I have been informed and am aware that ADVENTURE TRAVEL AND MOUNTAIN BIKE TOURS CAN BE DANGEROUS and includes certain risks and dangers, including, but not limited to, the hazards of traveling in undeveloped and isolated areas, hazards of traveling by boat, canoe, raft, train, automobile, safari vehicle, aircraft, animals, bicycles, on foot or by other unconventional means, accident or illness in remote places without medical facilities, lack of sanitation, exposure to infectious diseases, allergic reactions, dangers of wild animals, forces of nature, risk of criminal and/or terrorist activity, extreme weather conditions, physical exertions for which I may not be prepared, and evacuation difficulties.


Further, I understand that RIDE THE EARTH operates various trips in diverse countries, terrain and conditions. Many RIDE THE EARTH trips include challenging and inherently dangerously activities such as mountain biking, 4-Wheel Driving, horseback riding, rafting, aircraft flight, rappelling, mountain climbing, ziplining, bungee jumping, snorkeling, scuba diving, surfing, skiing, hiking, camping, game viewing, skiing, snowboarding and travel in remote areas, as well as other inherently dangerous activities. Neither RIDE THE EARTH nor its officers, directors, contractors, sub-contractors, employees, agents, guides or staff can safeguard against injuries or accidents, which may occur for whatever reason on any trip. I understand that accidents, property damage, minor and serious bodily injuries, diseases and unpredictable adverse health conditions and fatalities may occur during adventure traveling and are an inherent risk of adventure traveling. I accept the inherent risks of the proposed trip and acknowledge that the enjoyment of adventuring beyond normal safety of home and work is in part the reason for my participation on this trip.


I EXPRESSLY ACKNOWLEDGE and AGREE that adventure travel and mountain bike tours can be dangerous and involves serious and unpredictable risks of bodily injury, property damage and death and that the foregoing waiver and release is intended to be as broad and as inclusive as permitted by law.


Release of Liability and Waiver of Claims:

IN CONSIDERATION OF being accepted for travel with RIDE THE EARTH and all related activities including, but not limited to, various adventure sports most notably mountain biking, recreational activities, services, transportation, lodging, food, service project initiatives, and lounging arranged for or provided to the participant by RIDE THE EARTH in connection with the adventure travel/mountain bike tour that I am participating in, I hereby agree as follows:

I specifically release RIDE THE EARTH and all related persons and affiliated companies (as they now exist or may hereafter be acquired), employees, officers, directors, shareholders, successors, agents, owners, subcontractors, volunteers, representatives, subsidiaries, assigns, and affiliates (collectively referred to hereinafter as “RIDE THE EARTH”) from liability and assume all risk of injury, loss, damage, death or inconvenience as a result of my traveling on a trip arranged by RIDE THE EARTH.

I HEREBY RELEASE, WAIVE, and AGREE NOT TO SUE RIDE THE EARTH for all or any liability to the undersigned, his/her personal representatives, heirs, assigns and next of kin, for any and all losses, damages or injuries or any claim or demand on account of injury or emotional trauma to the person or damage or loss of property of the undersigned, or on account of death, injury, loss or inconvenience resulting from any cause, including negligence of RIDE THE EARTH or others while the undersigned is participating in a tour or any travel or other arrangements made by RIDE THE EARTH. I further agree that I will assume the risk of travel and release RIDE THE EARTH from all liability for any injury or damage to my body or property or my death due to any cause whatsoever, including negligence, breach of contract, or breach of any statutory or other duty of care, including any duty of care owed under the occupier’s liability act on that part of the releasees, and further including the failure on the part of the releasee to safeguard or protect me from the risks, dangers and hazards of adventure travel activities referred to above and/or negligent failure to obtain or administer appropriate rescue operations in the event of injury or mishap, including failure to obtain adequate medical services, to evacuate or to supply treatment, medicine, or trained rescue personnel.

No change in this Agreement can be made except by a written submission, signed by an officer of RIDE THE EARTH. I agree that I am entering this agreement of my own free will.

If any portion of this Agreement is determined by a court to be null and void, the remaining portions of this Agreement shall nevertheless remain valid and binding upon the parties.

Acknowledging this document contains an acceptance of the following sections:

  • Acceptance of Booking & Cancellation Policies 
  • Acceptance of Terms and Conditions
  • Assumption of Risks, Release of Liability and Waiver of Claims
  • Acknowledgement of Risks MTB


I understand that I have received and have for my files the sections listed above. I acknowledge that I have carefully read and understand all sections of this agreement as listed above prior to signing it. I agree to all stated terms and conditions set forth therein as partial consideration for traveling with RIDE THE EARTH. I agree that this Agreement will be binding upon myself, the participant, and the participant’s heirs, next of kin, executors, administrators, assigns, representatives, legal parents and guardians, and successors, and I am aware that by acknowledging this Agreement I am waiving certain legal rights which I may otherwise have against RIDE THE EARTH and all other related persons, companies, and organizations as stated above. I enter into this Agreement of my own free will.

3. THE DATA WE COLLECT ABOUT YOU

· Identity Data includes first name, maiden name, last name, username or similar identifier, title, date of birth and gender.

· Transaction Data includes details about payments to and from you and other details of products and services you have purchased from us.

When you place an order through the website, we will maintain your Order Information for our records.
